The Copenhagen Asian Film Festival (CAFF) is looking for Passionate, Community-minded, and Fun-seeking volunteers to join a dynamic group of Asian Film lovers. Join us to bring alive year-round Collaboration-screenings  and Events leading up to the first annually Asian Film Festival of its kind (in Scandinavia) every February... 

In return, you will get access to Free Movies, Special Events and a fantastic close-knit family of volunteers.

All positions are open to young professionals looking to advance their career skills - and positions that are bolded are available for college students as well.

  • Festival Assistant

  • Assist the Festival Director with all Festival related duties

  • Check and maintain the general info@caff.dk Inbox and disseminate information as required to Executive team officers

  • Collect and disseminate physical mail from the CAFF mailbox

  • Send out meeting reminders, deadlines and to-do reminders to all Executives, and maintain the CAFF cloud Calendar

  • Prepare Agenda and take notes at all regular monthly Executive meetings

  • Maintain CAFF cloud filing system

  • Book-keeping in absence of a Book-keeper

  • Administrative preparation for key events such as printing labels, signage, etc.

  • Manage film classification request for certain films for special screenings and during the Festival

  • Occasionally manage formal correspondence on behalf of the Festival under Festival Director’s direction

  • Manage Event invitations on selected events

  • Coordinate data entry of Membership form informations

  • Update templates annually and/or as needed

  • Ad hoc administrative duties

 

  • Graphic Designer

  • Under the supervision of the Festival Director, responsible for executing all collateral materials (as required):

    • All artwork, print and online

    • Design of newsletters

    • Design Program Guide, posters, flyers, ads

    • Design Membership cards and special event tickets

    • Design templates and corporate collateral

  • Design direction is under the Festival Director, while reporting to Marketing Manager for logistics and timeline.

  • Being familiarized with the brand guidelines and be a brand guardian, ensuring all publicized work are on brand, reflect the brand in an accurate and positive light, and accuracy of brand assets such as logos.

  • Participate in monthly Executive Meetings whenever possible.

  • Must be proficient with Adobe Creative Suite.

  • Print Traffic Manager

  • Mostly active from December to the end of the Festival period in late February - manage the delivery of selected films and collection of Filmmaker information to ensure a smooth running Film Festival.

  • Reporting to the Festival Director, coordinate Print traffic – ensure all screening copies arrive in a timely fashion, and returned to filmmaker in timely manner after screening.

  • All shipping details – track all films prior, during and after the festival, maintaining receivables database spreadsheet.

  • Help coordinate and oversee all audio-visual requirements during festival, and oversee a tech/quality check of each film with the Event Coordinator, prior to the festival.

  • Ensure BC Classification Letter is on site and displayed, and update the Rating form for all programming committee members.

  • Correspondence and communication with filmmakers, as required, to ensure screener/shipping compliance.

  • Research and price compare various shipping options.

  • Participate in monthly Executive Meetings whenever possible.

  • Event Manager

  • Reporting to Festival Director and working with other Events Volunteers to do set up, running, and wrap up of events year round.

  • Responsible for managing events run down and ensuring all details to planned activities run properly and events on day run in a smoothly and timely manner.

  • Activities include quarterly screenings, fundraisers, Industry Panel Day, Workshops, MAMM contest screening, and most importantly the 8-day Film Festival in February.

  • Assist Operations Manager in preparation before events such as shopping, transportation to and from Storage to venue.

  • Help maintain inventory and tidiness of Storage.

  • Participate in monthly Executive Meetings whenever possible.

  • Experience with event planning and management is a must !!

  • Marketing Manager

  • Reporting to the Festival Director, develop an overall Marketing Strategy to increase awareness, audience and ticket sales.

  • Manage the Marketing Department, with the Marketing Team & oversee progress of, delegate tasks to or work with the other Marketing Executives, incl. Communications Manager, Graphic Designers, Content & Social Media team and Sponsorship Manager, to ensure deadlines are met and campaigns are carried out fully.

  • Come up with annual Editorial Calendar.

  • Working with the Creative Director/ Festival Director, to device Creative Briefs and Event Briefs for all projects.

  • Propose ideas to increase Festival’s profile throughout the year.

  • Ensure all contractual fulfilments are carried out for each sponsor and partner for all campaigns, including online, social media and all printed matters.

  • Work closely with PR & Media team to ensure press releases are accurate and to capitalize on promotional opportunities that may present itself.

  • Act as brand guardian together with the Communications Manager by ensuring all publicized work are on brand, reflect the brand in an accurate and positive light, and accuracy of brand assets such as logos.

  • Manage advertising budget and placement of ads, negotiate and book paid ads, ad exchanges, etc. with Marketing team.

  • Attend networking events to help promote upcoming events and increase Festival awareness.

  • Participate in monthly Executive Meetings whenever possible.

 

  • Sponsorship Manager

  • Reporting to the Festival Director, assist the Sponsorship team to secure sponsorship, partnership and advertising.

  • Implementation of the contractual fulfillment for Sponsors, Corporate Members & Donors, working closely with the Marketing Manager and other Marketing Executives.

  • Implements the process for activating the sponsorship and partnerships.

  • Maintain the relationship after a sponsor comes on board, such as ensuring appropriate publicity for sponsors at events, and ensuring sponsors and guests are invited to and taken care of at relevant events.

  • Implement the fundraising campaign such as silent auction, merchandise sales, etc.

  • Maintaining up-to-date records of sponsors lists, contacts and fulfilment terms.

  • Participate in monthly Executive Meetings whenever possible.

  • This position is ideally suited to a seasoned (B2B) sales and/or new biz dev professional with a ‘hunter’ mentality who also realizes the importance of relationship building and win-win opportunities.

What is CAFF ??

The Copenhagen Asian Film Festival (CAFF) is a non-profit organization that celebrates the diversity in Asian films.

The first annually-running Asian Film Festival in Scandinavia, was founded by a couple of Asian Movie Lovers in 2018 and will debut in February 2020. CAFF is entirely organized and produced by a group of Dedicated Volunteers and generous financial support from Corporate Sponsors, Public Funders and Private Donors.
